HOW DO I CREATE A PROJECT?
One of the key elements in the deduction service is the figure of the Project (N4). Each deduction mission must have at least one N4 created, since it is understood that if a deduction figure is calculated for that client you must have a project with which to justify it technically.
In the details section of a Deductions mission, you can create as many projects as necessary. To do this, from the "Details" section of the mission, by clicking on "+" and filling in the name of the project and strategy, you can create a project for that mission.

If for some reason finally that project is not going to be carried out, it can be invalidated in an agile way as follows:

IS IT POSSIBLE TO CHANGE THE PROJECT GROUP OF AN ALREADY CREATED PROJECT?
It is possible, it is not necessary to override the project and create a new one with the correct project group.
By entering the Project Details tab (N4), it is possible to change the Strategy, and by choosing a new Strategy, the Project Group is changed:

When you change, a Confirmation tab appears. When confirmed, the activities in that project are updated according to the project group. For example, if you go from IMV (DF IDI c/I) to AUTO (DF IDI s/I), the Certification and Motivated Report activities will disappear, and you will no longer be able to update progress or impute hours to them.
I SEE ACTIVITIES THAT ARE NOT SPECIFIC TO THE STRUCTURE
Some of the typical structure of the service may appear in the Activities. That's because it's a billable activity (Monetization, 3 months from IMV, etc.). It is necessary that these activities are in the mission because each forecast must be linked to an activity, and if the activity does not belong to the structure of the service (invoice to the figure, to the economic, technical-economic delivery, etc.) , the activity should appear. This type of activity has the $ symbol next to it.

These activities include a deadline, and updating this date, also updates the forecast of the Fees tab
IN WHICH TOOL DO I RECORD MY HOURS?
The hours will be recorded in the different tools according to campaigns:
IDI, BBSS: Project Tracking.
Grants: Applications will be registered in Project Tracking. During the first months of 2023, aid with pending justifications from 2022 and previous campaigns will be migrated and can be registered in Woody.
Other services: Project Tracking
Internal hours will be recorded from Woody (EQUIP mission****). The way of proceeding has been changed, and instead of creating a code for each activity (blood donation, training, donuts, ambassadors, conventions, etc.), they have been put as activities within the internal project EQUIP****:

This is an important improvement, which avoids having to request permissions to access new codes created specifically for very specific things.
Before, a code was created for each congress, each convention, each working group, each donut, etc.
Now, any time not linkedto missions and external client projects, will be registered in EQUIP***
IN WHICH ACTIVITY OR TASK DO I RECORD MY HOURS?
Hours will normally be recorded in tasks. If there is an activity that is not complete when you complete your tasks, or that does not have tasks, it will be possible to record hours (in IDI, the only activity with tasks of a mission (N3) that is not completed with the completion of your task is "Identification"). For this reason, you have been blocked from being able to record hours in some activities, as the hours must be recorded in your tasks (for example, Launch or Encryption)
WHERE DO I RECORD HOURS SPENT ON OTHER TASKS?

WHEREWILL THE GRANT MISSIONS BE PENDING JUSTIFICATION?
Grants' missions from the 2023 campaign will be in Woody and it will be there where hours are recorded and progress is reported.
Grant missions from campaigns prior to 2023 that are not completed in the ERP will be migrated to Woody and it will be there wherethey will be completed. All the advances thatare currently being recorded in Project Tracking will be migrated to Woody during the first quarter of 2023.
WHERE IS THE OLD N5 TO JUSTIFY THE AID GRANTED?
From now on the N5 ceases to exist. When a Grants project has a status of "Granted", the "Report" activity is automatically created. This activity is where the justification will be recorded. This activity can be cloned for projects that require more than one justification (there must be a Report activity for each justification milestone):
WHAT KIND OF ROLES ARE THERE IN WOODY?
In Woody, different user roles have been defined when granting capabilities and permissions within missions and projects. These roles are preset as follows:
Assigned to: It is the consultant to whom that mission or project of the client has been assigned and therefore is the one who 'produces' the work, the executor of the service or the project.
Owner: It is responsible for the client. He has full control of the mission and assigns the mission to the executor (assigned to). You can also manually grant the rest of the permissions to other users not automatically added. Is responsible for the mission (CS or NOC)
Controller. They have functions as an owner when the owner is not available, but as a general rule they will only be spectators. MGR, TL, TOLs and Assistants are controllers of everything below in hierarchy or of the team itself.
Member. Everyone on the team is a member, and can view the mission and allocate hours, but they can't change anything about the mission (only the Assigned To can do it).
When a mission arrives at Woody, these roles are automatically assigned to missions based on project (team) information and FI Talent status.
HOW DO I MANUALLY ASSIGN OR CHANGE A ROLE?
In addition to the automatic assignment of roles through FI Talent, the owner (or controller) can include other people in the mission or change their role. For this, you need to click on the + button, select the member and mark whether it is owner, controller or nothing (it will be a member).
To do this, you must do it from the Roles section of that mission and the "+" symbol.

WHAT IS THE ROLE ASSIGNMENT PROCEDURE?
The missions must have responsible for it (owner), a producer or executor of the service or project (assigned to), users with editing possibilities that will be the superiors and assistants (controllers) and the rest of the team that will be able to see the missions and record hours, but not edit anything (members)
This role assignment procedure has been established (TOL: Technical Office Leader, TL: Team Leader, MGR: Manager, ASS: Assistant, CS: Senior Consultant, CON1: Consultant, CON2: Consultant under CON1):
Mission is created and automatically by the connection of FI TALENT these roles are assigned to the missions:
Controller: TOL, TL, ASS, MGR.
Member: rest of the team.
A controller (MGR, ASS) manually assigns the following role to missions:
If the mission is owned (responsible) by CON1 and it is under a CS, manually assign this role:
The owner (CS or CON1) manually assigns the consultant who will be in charge of the execution of the service, which can be himself in some cases, or consultants below:
Automatically mission roles will be cloned to your projects (N4)
The owner (or a controller) of N4 manually assigns whoever executes that project (which can be himself (rarely if it is CS), or another consultant.
The mission in the following campaign will inherit the roles of this campaign.
WHEN ARE MISSION PROFILE ROLES CHANGED?
Every time a user's category or team changes in FI Talent, profiles are updated in their missions.
In the case of IDI, the Fees tab does not appear until at least one project is created. It is understood that without a project there can be no billing forecasts. To create it, go to the point "How do I create a project?"
WHAT IS THE PROCEDURE FOR DIVIDING FEES ACROSS DIFFERENT TEAMS INVOLVED IN THE MANAGEMENT OF A MISSION?
You can assign a percentage of a forecast to more than one consultant. You need to add a member by clicking the "+" button at the bottom of the screen, and put the member, fee percentage and milestone:

Important: From C23, there will only be one code per service or mission, and it will be in Woody where this distribution of fees is made in percentages of management that each consultant has done.
Within Woody's Fees section (N3 in IDI or BBSS, or N4 in GRANTS), we see the forecasts (the automatic ones come out alone and the manual ones have to be created), and below you can make the distribution. Important: the distribution is made to people, not teams, so these people must have some role in the mission. If we want to impute a % of that mission to a specific team, in "Roles" at least one member of that team must appear:
In this case, this service is divided into three consultants (who are as members in Roles). These consultants, as they belong to a team, in BI the amount of these users is taken and in the reports it is assigned to the team. In this case, these three consultants were assigned to MAD05, MAD08 and MAD09.
As we can see, in BI a row will appear for each forecast and each team according to the distribution. As there was forecast to the Figure and the Deliverable, there are two forecasts per team, and each team will only see the corresponding percentage in each of the billing milestones.
The forecast associated with Certification Costs is always a manual forecast, and will appear as Activity in the mission (N3) and as Forecast if there is an N4 whose certificate assumes FI or there is Re-invoicing. To complete this field, you must do it from the option that appears when the project has a strategy (IMV, CERT, PERI or IF):
